Hall Hire T&C’s

Deposit

A deposit of £250 is required to cover possible damage to the hall, furniture or

fittings. The non-negotiable deposit is payable at the time of booking and is payable by members and non-members. This is payable by debit/credit card. 

The deposit will be returned within 7 days after a satisfactory inspection by a committee member. Please bring your card back to the Club for the deposit to be returned.

In the event of damage being caused to the Club premises or belongings, the cost of repairing or replacing these will be deducted from the deposit. If the amount or repairing or replacing exceeds the full amount of the deposit, the full deposit will be retained by the Club. In this circumstance full reasoning will be given for the retention of the deposit.

Cancellations

There shall be no cancellation charge provided cancellation takes place more than 28 days prior to the book date. If cancellation takes place between 28 days and 14 days prior to the booked date, a loss of half the hall hire fee will apply. If cancellation takes place less than 14 days prior to the booked date, no fee will be returned and the Club will retain the full hall hire amount. This is due to the loss of earning the Club will receive as a result of the timing of any cancelation.

On the day of event

A designated member of staff will review the terms of this agreement with the hirer at the commencement of the event.

General

  • The hirer and guests must use the side entrance to the club (the gates will be opened prior to the event). 
  • The hall comprises the Marshall Lounge, the dance floor, the stage area and the section of the bar within the hall. The toilets and the cloakrooms are outside the hall in the members’ area. The use of the members’ area is not permitted.
  • There is a smoking area outside the side emergency exit in the hall.
  • Fireworks and Inflatables such as Bouncy Castles are prohibited. 
  • If the hirer requires early access to the hall to prepare for the event this can be arranged with the Club Steward, providing access is required during normal working hours. Please see point 1a) above.
  • A step ladder is available for use. Any banners, signs or balloons required may be fixed to the walls using pins only. White/blue tack, clear tape or nails may not to be used.
  • All drinks consumed at this function must be purchased at the bar. The hirer is responsible for ensuring that guests under 18 do not purchase or consume alcoholic drinks. The consequence for not doing so may result in the hirers deposit being withheld.
  • Catering can be arranged with outside caterers. There are no kitchen facilities available to the hirer. Therefore, food for the event must be already prepared and ready to eat, using plates and cutlery provided by the hirer. All subsequent waste must be REMOVED by the hirer, if this is not carried out it will result in £50 being retained from the hirers deposit to cover the additional cleaning costs.
  • The hirer is responsible for making sure that the side emergency exit doors are kept clear. Ruislip Conservative Club does not accept any responsibility for any injuries sustained by the hirer or guests whilst outside the building e.g.  the side area, or the car parking area.
  • Children are only permitted into the members’ area to use the toilets and must be supervised by an accompanying adult.  
  • Guests may only park within the marked bays leaving the open areas free for emergency vehicles.
  • The hirer should be aware that at the time of the event, club members will be using the main bar and seating areas outside of the hall.  
  • The hirer agrees to indemnify the Ruislip Conservative Club Ltd (owner of the property) for all damage, injury or loss caused by those attending the event and to ensure the areas used are left in the condition that they were found upon arrival.  
  • The hirer is responsible for ensuring that only invited guests attend the event.  Any unauthorised attendees must be reported to a member of staff.
  • Any guest behaving in an aggressive or abusive manner towards fellow guests, members or the bar staff will be asked to leave the premises by the Ruislip Conservative Club Ltd bar staff or a Committee member.

Operating Hours

The following times are the latest at which an evening event must end:

Afternoon events must end at the time specified on this contract and the hirer is responsible for ensuring their guests adhere to this agreement.
